WEBVTT 1 00:00:03.010 --> 00:00:11.039 Sherry Buchanan: Hi, I'm Sherry Buchanan. I'm with Portland State University Library. I'm going to talk to you today about our featured collections. 2 00:00:12.390 --> 00:00:21.509 Sherry Buchanan: PDXScholar is the campus repository for Portland State University, and we have three main featured collections. 3 00:00:21.830 --> 00:00:31.489 Sherry Buchanan: We have featured other collections in the past, but these are the ones that we curate using the Digital Commons automated collection tool. 4 00:00:33.380 --> 00:00:36.909 Sherry Buchanan: Here's an outline of what I'm going to talk about today, 5 00:00:37.500 --> 00:00:56.740 Sherry Buchanan: and what I want you to remember most importantly, is that this stuff has tentacles. So once you get into this content, it's very amazing -- the connections that you will build with people, and how you can facilitate collaboration 6 00:00:56.750 --> 00:01:01.939 Sherry Buchanan: amongst your colleagues, and really change the scholarly record. 7 00:01:03.880 --> 00:01:19.909 Sherry Buchanan: So first I want to ask, Are we solving the right problems? One of my favorite articles is in Harvard Business Review, and I want you to go read this article after my presentation, or sometime, very soon, and essentially 8 00:01:19.940 --> 00:01:26.809 Sherry Buchanan: ask yourself, Are you solving the right problems? So for me, 9 00:01:26.890 --> 00:01:44.169 Sherry Buchanan: in the last couple of years, I really changed my thinking about what is the scholarly record? And I'm thinking more about where research is being conducted, and where is the audience? And how can we connect people 10 00:01:44.500 --> 00:01:54.540 Sherry Buchanan: Thinking about PSU as a Hispanic Serving Institution and thinking about the audience for some of the content, 11 00:01:54.590 --> 00:02:14.139 Sherry Buchanan: I think that Peer reviewed articles might not reach them ... so, many times, we are adding audio visual materials to our repository, and so I want you to really think about what is in your repository. And how can you change the scholarly landscape? 12 00:02:14.150 --> 00:02:15.490 Sherry Buchanan: -- 15 seconds of silence -- 13 00:02:29.790 --> 00:02:48.780 Sherry Buchanan: This is kind of a fun ad campaign about Portland, but some of our faculty were up in arms about this. Many people were, in fact, and we added an MP3 -- A Think Out Loud interview with Lisa Bates, one of our faculty, 14 00:02:48.790 --> 00:03:06.629 Sherry Buchanan: and this is really a good example of some of the scholarship that's happening on campus -- people are looking at, and deconstructing, and evaluating some of the representations of Portland. 15 00:03:06.860 --> 00:03:11.589 Sherry Buchanan: So go check this out later, and hopefully, this is going to inspire you. 16 00:03:12.880 --> 00:03:33.970 Sherry Buchanan: So, my goals -- as many repository administrators have similar goals -- are to preserve content, of course, but also improve equity while serving our students and faculty, building those relationships, sparking positive change, facilitating that collaboration 17 00:03:34.020 --> 00:03:38.350 Sherry Buchanan: and inspiring others to connect and share and grow -- 18 00:03:38.500 --> 00:03:45.749 Sherry Buchanan: really with the same role that any teacher has to create transformative learning opportunities, 19 00:03:46.490 --> 00:03:48.000 Sherry Buchanan: and so 20 00:03:48.120 --> 00:03:57.939 Sherry Buchanan: a personal goal of mine is to expand the limits of our institutional repository, and also elucidate 21 00:03:58.090 --> 00:04:05.959 Sherry Buchanan: the complex problems that we are facing, such as climate change and racism and diseases. 22 00:04:07.470 --> 00:04:25.529 Sherry Buchanan: So about PDXScholar: Here's a little bit -- a few statistics for you to check out -- Portland State, Our mission is to lead the way to an equitable and sustainable future, and we have twenty-six thousand students. So we're not a small place. 23 00:04:25.810 --> 00:04:43.909 Sherry Buchanan: That's about all I'll say on that. And then the Featured Collections we have -- I developed these images to go along with the Featured Collections, and we highlight those on mostly Twitter and Instagram, but also a blog. We'll get into the details of this, and how it works. 24 00:04:46.030 --> 00:04:51.980 Sherry Buchanan: So Climate Justice is one of our top ten most downloaded collections. 25 00:04:52.030 --> 00:04:58.090 Sherry Buchanan: The Racial and Gender Equity Collection has over 1.5 million downloads, 26 00:04:58.390 --> 00:05:05.480 Sherry Buchanan: and the COVID-19 collection has been downloaded in two hundred and two different countries. 27 00:05:06.290 --> 00:05:14.769 Sherry Buchanan: So, I pulled some statistics that essentially showcase how these collections are having an impact. 28 00:05:15.950 --> 00:05:23.759 Sherry Buchanan: -- some interesting content from the climate justice collection. I thought I would pull for you, and show you our top ten downloads, 29 00:05:24.150 --> 00:05:27.840 Sherry Buchanan: and the top ten downloads for Racial and Gender Equity. 30 00:05:27.950 --> 00:05:33.680 Sherry Buchanan: One item has a hundred and forty-six thousand downloads in that collection. 31 00:05:34.900 --> 00:05:49.910 Sherry Buchanan: So the criteria ... This is probably what many people wonder about. Our criteria is very simple and straightforward. The the content is current. It is popular, and it resonates. It is resonant. 32 00:05:50.240 --> 00:06:05.719 Sherry Buchanan: And our hope is that these collections can spark action and positive change, foster research, that is cross-disciplinary, and create enthusiasm for the repository, the Library and Portland State, 33 00:06:06.210 --> 00:06:21.059 Sherry Buchanan: and some of the sources that we initially used to to pinpoint relevant topics are listed there for you. Many of you might be familiar with these. So those are always interesting for people to look at. 34 00:06:22.470 --> 00:06:24.389 Sherry Buchanan: So a technical overview -- 35 00:06:24.610 --> 00:06:36.029 Sherry Buchanan: Essentially, how this works is that in the metadata there are subjects also known as keywords, and these essentially are tags that filter in the content. 36 00:06:36.040 --> 00:06:45.530 Sherry Buchanan: Nothing is manually added to these collections. So essentially our staff is trained to add at least one 37 00:06:45.600 --> 00:06:47.140 Sherry Buchanan: subject heading 38 00:06:47.190 --> 00:06:50.369 Sherry Buchanan: that will trigger this cross indexing. 39 00:06:50.500 --> 00:07:02.760 Sherry Buchanan: So, we tell people to use climate, climatic changes, or social justice, or COVID-19 in order to automatically filter things into these collections. 40 00:07:03.650 --> 00:07:11.030 Sherry Buchanan: So essentially, this is how you do it. You ask for a new series from Digital Commons 41 00:07:11.140 --> 00:07:17.650 Sherry Buchanan: In the collection configuration, you need to check the featured publication box, 42 00:07:18.670 --> 00:07:25.200 Sherry Buchanan: and then you're going to define search parameters to display the items with a specific metadata, 43 00:07:25.610 --> 00:07:28.670 Sherry Buchanan: and this is also known as the autocollect feature, 44 00:07:28.870 --> 00:07:32.969 Sherry Buchanan: and then you're going to train your staff to tag things correctly. 45 00:07:35.600 --> 00:07:54.339 Sherry Buchanan: So, you can get into the details of the Digital Commons instructions about how to use the automatic collection tool. There's a video, and there's some other documentation. Important tips to know are that the filters are not case sensitive. 46 00:07:54.660 --> 00:08:05.630 Sherry Buchanan: Quotes do not work here. They are seen as characters. So don't try to do quotation marks like you would in another advanced search, 47 00:08:05.700 --> 00:08:19.220 Sherry Buchanan: and do some trial and error with your advanced search compared to the filters, and then, most importantly, run regular updates on your site, or new content will not be ingested. 48 00:08:21.530 --> 00:08:39.750 Sherry Buchanan: So, here is a filter example, a screenshot from the COVID-19 collection, and that collection is pretty simple. How it's built: We have the abstract, keyword, or title includes the word COVID, and that pulls all the collection onto that page. 49 00:08:41.390 --> 00:09:00.289 Sherry Buchanan: And here's a customized filter example that we're using for climate justice. We have one department called Earth, Environment, and Society, and all of the content from that department really fits the climate justice theme. So this is one of the more unique filters that we have. 50 00:09:00.300 --> 00:09:06.530 Sherry Buchanan: Note that Digital Commons can configure any metadata field you would like there. 51 00:09:08.450 --> 00:09:16.559 Sherry Buchanan: and then, here are some examples of filters we have, and I've added a link for a complete list of all the filters. 52 00:09:18.060 --> 00:09:28.610 Sherry Buchanan: And here are some filters for Racial and Gender Equity and a link to the Library Congress Authorities. That's what we use for our repository, 53 00:09:30.620 --> 00:09:35.939 Sherry Buchanan: and some more examples, and how many results each of these pulls in. 54 00:09:36.970 --> 00:09:41.460 Sherry Buchanan: So future planning: When we had a change in law, 55 00:09:41.750 --> 00:10:01.300 Sherry Buchanan: I thought, I'm gonna go add some new filters, and then in the future, as articles are published, or as new videos or content is added to the repository, and we have the subject heading, "Pro-choice movement" in that new item 56 00:10:01.310 --> 00:10:05.029 Sherry Buchanan: that will automatically be filtered into the collection. 57 00:10:07.350 --> 00:10:10.260 Sherry Buchanan: So this is all very iterative, 58 00:10:10.380 --> 00:10:26.429 Sherry Buchanan: as you might imagine, and you can go later on and look at a Twitter feed or our Instagram stories. Essentially, we are seeing that 59 00:10:26.440 --> 00:10:32.159 Sherry Buchanan: the relationships we're building with an individual faculty member 60 00:10:32.170 --> 00:10:47.490 Sherry Buchanan: will blossom, and they will tell their friends, their colleagues, and then, as a video is produced on campus, someone will contact us, or someone publishes an article, 61 00:10:47.500 --> 00:10:59.410 Sherry Buchanan: and it's about social justice, and they say, Oh, this would fit well into this collection. So, it's really amazing how this has been changing the scholarly record. 62 00:11:00.250 --> 00:11:10.070 Sherry Buchanan: So, the underrepresented voices... We have some departments on Campus: the Indigenous Nations studies department, Black Studies, 63 00:11:10.080 --> 00:11:28.340 Sherry Buchanan: Women, Gender and Sexuality Studies, and Chicano/Latino Studies, and these departments, like many of the humanities, their content is underrepresented, and so I work really hard to work with the individual faculty members to 64 00:11:28.350 --> 00:11:42.880 Sherry Buchanan: find as much content from their CV, and put it into PDXScholar, and also onto their personal profiles, their faculty profiles. We have SelectedWorks at Portland State. 65 00:11:43.880 --> 00:11:53.120 Sherry Buchanan: So, some of the Featured Collections in the past that we have had ... We've had PDXTalks featured, and I'm hoping that series will come back again. 66 00:11:53.140 --> 00:12:07.410 Sherry Buchanan: More recently, the "Tag We're It" series. This is an amazing video series that's happening on campus, and the "At This Moment" series, and also "Archaeology First Thursdays." 67 00:12:07.420 --> 00:12:24.420 Sherry Buchanan: So, some of these video series are more easy to promote because they have a visual element already associated with them, and that's really easy to grab that, and resize it, and put it on Twitter or Instagram, or Facebook or your blog. 68 00:12:25.230 --> 00:12:37.589 Sherry Buchanan: So, finding inspiration ... like I mentioned *building relationships is critical.* You can check your campus calendar, your campus emails, and leave no stone unturned, essentially. 69 00:12:37.600 --> 00:12:55.720 Sherry Buchanan: You can look at the Digital Commons Dashboard guide. I included a link to it. It's fairly obvious how to dink around in the back end to find content. Some other more unique ways... Here I'm gonna tell you about how to create a Google Alert, 70 00:12:55.730 --> 00:13:02.720 Sherry Buchanan: how to create a Digital Commons alert, how to rip from Youtube, and also how to use targeted web forms. 71 00:13:03.450 --> 00:13:19.460 Sherry Buchanan: So Google alert, this might not have occurred to you. I was had another little aha moment like way, hey? How can I find more content? So it's very simple. Just go to Google alerts and type in your school name 72 00:13:19.470 --> 00:13:33.739 Sherry Buchanan: or whatever content you want to get an email about and a related subject, and get emails about it. Many times this will lead to us finding content that we would not have otherwise learned about. 73 00:13:35.380 --> 00:13:47.280 Sherry Buchanan: So, the Digital Commons Alerts: Do an advanced search. You'll see a button that says, "Save this search," and then, you can get an email about that search. 74 00:13:48.300 --> 00:14:05.950 Sherry Buchanan: Here is some information about how to rip from Youtube. Portland State has a lot of content on Youtube, and in this case, I suspect others have been in a similar circumstance. You may not be there when the conversation is happening about where to put this video. 75 00:14:05.960 --> 00:14:13.479 Sherry Buchanan: Many people say, let's put it on Youtube. So here's a way to go and grab that content. And you're 76 00:14:13.490 --> 00:14:32.399 Sherry Buchanan: you're gonna have to take on your own liability for copyright. But many times you can go and download these videos very simply, might have to create captions for them, using another tool, which is what we do. But it's another way to grab content and be inspired. 77 00:14:32.480 --> 00:14:48.820 Sherry Buchanan: Next up is our forms. We created a number of forms. Some of them are Google forms. Some of them are Gravity forms that are in the back end of Wordpress, a plugin called Gravity. Essentially, here are links to the forms. You can go check them out later. 78 00:14:48.890 --> 00:15:02.359 Sherry Buchanan: When people go to our "submit your research" page from our main campus repository. There is a "submit your research" button, and this goes to a Google form. And 79 00:15:02.370 --> 00:15:11.349 Sherry Buchanan: lately I thought, Hmm. I'm going to add another note. We already said, Hey, tell us what your department is, or if you have other affiliations. 80 00:15:11.380 --> 00:15:21.410 Sherry Buchanan: Sometimes people are affiliated with four different departments. A person might be in a social work, but also 81 00:15:21.670 --> 00:15:31.640 Sherry Buchanan: have some affiliation with Black Studies for Women and Gender Studies, and so our hope is that people will tell us upfront 82 00:15:31.910 --> 00:15:42.960 Sherry Buchanan: what departments or content they think this should be -- their item that they're sending to us -- would fit well into. So, we do a lot of cross-indexing. 83 00:15:44.560 --> 00:15:58.359 Sherry Buchanan: And promotion -- where to share your content -- We use Twitter and Instagram. We also have a blog on our main library website. We send out an email from the Library. 84 00:15:58.370 --> 00:16:05.330 Sherry Buchanan: And there is a Campus newsletter, and as well as the direct communication. And I would say, 85 00:16:05.560 --> 00:16:20.199 Sherry Buchanan: when someone publishes something, and I send them a link and say, "Hey -- I added this to repository," I also say, and, "By the way, this also is cross-indexed in our Equity collection," and people get excited about that, and then they tell their colleagues about it. 86 00:16:22.110 --> 00:16:28.640 Sherry Buchanan: So this is my favorite part. Ah-Hah! -- How to Change the Conversation. So 87 00:16:28.740 --> 00:16:43.610 Sherry Buchanan: we are giving voice to underrepresented or marginalized people, and basically our approach has to be different to lift those voices up. 88 00:16:43.910 --> 00:16:58.040 Sherry Buchanan: Building trust with with these content creators takes time. You have to listen carefully, and think creatively. Some of our indigenous nations faculty members are working out 89 00:16:58.050 --> 00:17:16.359 Sherry Buchanan: on the land, transforming the land into learning gardens, for example, and so how they produce content for their audience is going to be different. It's not going to be a peer-reviewed article sometimes. Sometimes they're reviewing movies -- horror films. 90 00:17:16.369 --> 00:17:21.179 Sherry Buchanan: A lot of the research is happening in different places that you might not expect. 91 00:17:21.589 --> 00:17:42.090 Sherry Buchanan: Like I mentioned, we cross-index as much as possible. We do include books and videos in our repository. Books, we tend to buy the the ebook or print book for our collection, and link to it, but we make an effort to do that because the humanities get more representation in that way. 92 00:17:42.100 --> 00:17:43.940 Sherry Buchanan: And 93 00:17:44.200 --> 00:17:50.500 Sherry Buchanan: so, like I said -- This is very iterative process, and we're changing the conversation here. 94 00:17:51.910 --> 00:18:06.069 Sherry Buchanan: Things for you to think about: What are you passionate about? What topics excite you? Are their people on campus that you find amazing? What patterns can you see in the research, and can you see connections? 95 00:18:06.100 --> 00:18:10.550 Sherry Buchanan: What gives you hope, and what themes can you weave together? 96 00:18:10.720 --> 00:18:19.259 Sherry Buchanan: And most importantly, how do you connect the creators with the viewers, or the readers with the writers? 97 00:18:20.390 --> 00:18:31.089 Sherry Buchanan: So, some resources for you to go back to and dig into more deeply -- I love the, "Are you solving the right problems?" article. 98 00:18:31.100 --> 00:18:45.259 Sherry Buchanan: Also a note about where some of my visual design happens -- it's in a tool called Canva. It's a simple web-based design tool. If you subscribe, you can get preset sizes, which is really handy. 99 00:18:45.370 --> 00:18:54.549 Sherry Buchanan: And essentially, you can go check out our Twitter and Instagram, and look for references to PDXScholar, our Featured Collections. 100 00:18:55.480 --> 00:18:58.300 Sherry Buchanan: If you have any questions, I would love to hear from you. 101 00:18:58.470 --> 00:18:59.560 Sherry Buchanan: Thank you!
